Job Description

Under the general supervision of the Accounts Payable Manager, performs all A/P related functions in a fast-paced environment.

Qualifications

• High School diploma with at least 2 years of accounts payable experience required.
• Full Cycle experience utilizing a Windows-based accounting system.
• Strong attention to detail, analytical and problem-solving skills, basic accounting principles knowledge, documentation skills, research and resolution skills, and multi-tasking abilities required.
• Proficiency in MS Office.
• Excellent invoice review and editing skills.
• Ability to build positive professional relationships and communicate effectively both verbally and in writing with employees and vendors.
• Ability to work independently and in a team within a high-volume, fast-paced environment, emphasizing accuracy and timeliness.

Responsibilities

• Process invoices promptly, aiming for a 2-day turnaround on approved invoices through the OneSource system.
• Complete same-day processing of invoices submitted by the property by Noon CST or by Corporate by 2:00 pm CST.
• Ensure invoices have appropriate documentation before posting.
• Review documents to prevent duplicate payments.
• Resolve payment issues and recover funds as needed.
• Prioritize invoices based on cash discount potential and payment terms.
• Scan, process, and post vendor invoices, employee expense reports, and demand checks into DataPlus.
• Respond to vendor inquiries within 24 hours via phone or email.
• Adhere to weekly and monthly closing schedules.
• Assist properties with AP questions and research.
• Maintain accurate files and documentation according to company policy and accounting standards.
• Update AP spreadsheets and reports regularly.
• Support other projects as needed.
